This Personal Information Protection Policy applies to personal information processing that is subject to the Act on the Protection of Personal Information in Japan (the “APPI”) and performed by Takasago International Corporation and our affiliates (“we”, “us” or “our”) and supplements our Global Privacy Policy. If there is any discrepancy between this policy and the Global Privacy Policy, this policy will take precedence. We may further provide you with one or more separate notices regarding your privacy. If there is any discrepancy between such notices and this policy, such notices will take precedence unless otherwise stated.
For the purposes of this policy, the terms defined in the APPI have the meanings provided in the APPI.

1    Basic Policy

We are committed to managing personal information and national identifier (“tokutei kojin joho” as defined in the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures).  We recognize such information as being of the utmost importance, and we consider it our grave responsibility to take appropriate measures to protect such information.

2    Business Operators Handling Personal Information

Information on our group can be found in the attached sheet.

3    Purpose of Use

The personal information handled by us and the purposes for which it is used are as stated in our Global Privacy Policy and in separate notices we may provide you from time to time.

4    Sharing of Personal data

We may share your personal data as described below.

・    Entities with which we share your personal data: entities of our group.
・    Purposes of use: As stated in section 3 above. 
・    Personal data we share: As stated in 3 above.
・    Entity responsible for the handling of personal data: Takasago International Corporation.

5    Disclosure, Rectification, Suspension of Use, etc. of Personal Data

When making a request for disclosure, rectification, suspension of use, or any other action with respect to your personal data under our control (“privacy request” or “request for disclosure etc.” as defined in the APPI), we will appropriately and expeditiously respond to the request with full respect given to your intent.
To make a request, you or your agent must send the documents described below to our Personal Information Management Representative by postal mail. When sending such documents, we kindly ask you to write “Documents Necessary for a Disclosure Request Enclosed” on the envelope.

Our Personal Information Management Representative will respond to your privacy request directed to all entities within our group, including Takasago International Corporation.  However, if you have any request or inquiry on information of the policyholders of Takasago Hoken Service Co., Ltd., please contact Takasago Hoken Service directly.

・    Please note that your privacy request may not be handled during our office closure days  (Saturdays, Sundays, public  holidays, and the New Year holidays).
If you make a privacy request or any other inquiry related to your personal information to one of our affiliates within our group other than Takasago International Corporation, the personal information concerned will be provided by the affiliate at its own risk to Takasago International Corporation and used by Takasago International Corporation for the purpose of responding to the request or inquiry. Further, personal information given to our Personal Information Management Representative will be provided by Takasago International Corporation to the affiliate and used by the affiliate for the purpose of responding to the request or inquiry.
 

[1] Documents necessary for a privacy request

(1) Written form for request for disclosure etc.

(2) Identification document
・    Certificate of residence (original); 
・    Driver’s license (copy); 
・    Passport (copy); or
・    Other public documents that can verify your identity

※ When making a privacy request as a data subject, please submit one of the above documents as an identification document. Only certificates of residence that have been issued within the last six months will be accepted. For other identification documents, only those within their validity period or those that are currently valid will be accepted.

(3) Documents proving authorization of agent
・    Letter of authorization (original); 
・    Registered seal certificate (original); and
・    Identification documents for the agent (the same as those listed in “(2) Identification document”)

※ If your agent makes a privacy request on your behalf, the documents above must be submitted together with your identification document.

We will respond to your privacy request by sending you or your agent a written reply in the designated form by postal mail or through digital or electromagnetic means. 
Please note that we will not be able to satisfy your privacy request if the request does not meet the requirements stipulated by the applicable laws. In such cases, we will notify you or your agent in writing.

(1) The personal information collected by us in responding to your privacy request will be used only to the extent necessary to respond to the request.

(2) If you have any questions, opinions, or requests regarding our handling of privacy requests, please contact our Personal Information Management Representative by postal mail, telephone, or email.
